What Orders and Invoices Do
Sales → Orders is your working queue. Every order your salesmen book in the field lands here. You open it, check what the shop actually wants, fix what the salesman got wrong, and confirm it. When the field cannot book an order — the shop rang the office, or a phone would not submit — you can key it here yourself with Book order.
Sales → Invoices is where the bill lives. Once an order is confirmed you generate the invoice from it, and that is the document the shop is given.
Three things worth knowing before you start:
- An order is not a bill. Nothing is charged and no stock moves when an order is booked or confirmed. The invoice is the document that counts.
- The invoice number is taken only when you issue. You can look at exactly what the shop will be billed as many times as you like, and nothing is used up until you press Issue invoice.
- An order is not a sale. Sales → New Sale is the counter till: it takes money on the spot and never creates an order. If you want something that reaches this queue, book an order.
- Edits are signed. Once the field has booked an order, every change you make is kept with your name, the time and the reason you typed.
Where to find them
In the sidebar, open the Sales group. Orders is the queue, Invoices is the billing workspace. If you cannot see either of them, your role does not include them — ask whoever manages users to add the permission.
