Confirming and Cancelling an Order

Confirming

  1. Open a Submitted order.
  2. Check the lines and the totals.
  3. Click Confirm order (top right).

The order moves to Confirmed and the Generate invoice button appears.

If the confirm is refused, the reason stays on the page under That did not go through — for example not enough stock for a named item, or the shop has no customer linked to it. Fix the thing it names and try again. It is never a message that disappears before you can read it.

When invoicing is blocked

If the order cannot be invoiced yet, a panel on the page says why in plain words — a shop with no linked customer, a closed accounting period, a price change waiting for a second approver. The Generate invoice button is not shown while that is true, and the sentence tells you what to fix.

Approving a price override

If someone changed a price or a discount beyond the allowed limit, the order carries a Needs a second approver tag and cannot be invoiced. If your role includes approving:

  1. Open the order.
  2. Click Approve override.

The tag clears and the order can be invoiced.

Cancelling

  1. Open the order and click Cancel order.
  2. Type a reason. It is required.
  3. Click Cancel order in the box.

The order is closed, not deleted — its lines and history stay on record.

An invoiced order cannot be cancelled. Once an invoice has been issued against it the button is gone, and the page says so. A posted invoice cannot be reversed in this release; raise the correction with your accountant instead.
