Billing Without an Order (Direct Invoice)
Some sales never go through the field — a shopkeeper collects from the depot counter, a route needs an urgent top-up, a correction has to be billed. A direct invoice is how those get billed.
- In the sidebar, open Sales → Invoices.
- Click Direct Invoice (top right).
- Pick the Shop. If the outlet is not on the list, type the Customer number instead.
- Choose the Selling store — which of your own locations is selling.
- Check the Invoice date and set a Due date if there are credit terms.
- Under Why there is no order, type the reason. This is required. It is stored on the invoice and shown in the invoice list, so anyone reviewing the month can see why this sale skipped the queue.
- Click Add item and add each line with its quantity, price and any discount.
- Use the amber bar at the top of the page and click Issue invoice.
Things to know
- A direct invoice takes its number from the same statutory series as every other invoice. There is no separate series.
- No running total is shown while you type. The invoice total is whatever the server prices and taxes when it is issued, and a figure added up in the browser could differ from the real document.
- A direct invoice is flagged as Direct in the list and on its own page, next to the reason you gave.
- If you cannot see the Direct Invoice button, your role does not include direct billing. It is a separate permission on purpose, so a merchant can switch the exception off entirely.
If it is refused
The reason appears on the right of the form under The invoice was not issued — for example a shop with no linked customer. Nothing is created and no number is used.
