Exporting Invoices to Tally
Once your settings are saved and your masters are mapped, you can produce the Tally import file — for one invoice, or for a whole day at once.
One invoice
- Open the invoice from Sales → Invoices.
- Scroll to the Tally panel near the bottom.
- Click Export for Tally. The file downloads.
- In Tally, go to Gateway of Tally → Import Data → Vouchers and choose the file.
If the button is not there
The panel tells you why instead of showing a dead button. When something the invoice needs has no Tally name yet, you get a list like:
Items: Item BW-500 has no Tally stock item Tax ledgers: IGST has no Tally duty ledger
Click Fix these on the Tally screen, map what is listed, and come back. The list shows everything that is missing at once, so you can clear it in one pass.
A whole day
- Go to Sales → Invoices.
- Click Export a day for Tally in the toolbar.
- Pick the invoice date.
- Click Download the file.
The file holds every invoice of that day that has not been exported yet. Invoices you already exported are left out, so running the same day again does not give you the same sale twice.
Include invoices already exported is there for the case where the first file was lost. Leave it off otherwise: importing the same invoice twice books the sale twice in Tally, and the duplicated tax only surfaces when you reconcile.
If nothing that day is waiting, iotoms says so rather than handing you an empty file. If one of the day's invoices is not ready, the whole batch is refused and the message names what is missing.
Reading the status
The Tally panel on an invoice shows one of four states:
| What it says | What it means |
|---|---|
| Not exported | No Tally file has been produced for this invoice yet. |
| Exported — not yet confirmed in Tally | A file was downloaded. That is all it means. |
| Confirmed in Tally | Someone opened Tally, saw the voucher, and said so. |
| Export failed | The file could not be built. Nothing left iotoms. |
Exported is not the same as being in your books. iotoms cannot see inside Tally. A file may sit in a downloads folder for a week, or be imported and then deleted — either way the status here would still read Exported. Only a person can confirm the voucher exists.
Marking an invoice imported
- Import the file in Tally.
- Check the voucher is there.
- Back on the invoice, click Mark imported.
- Optionally type the Tally voucher reference — it is what makes the claim checkable months later.
- Click Yes, it is in Tally.
The status becomes Confirmed in Tally, and your name and the time are recorded against it.
Every attempt is listed under Export attempts on the same panel, newest first, with who produced each file.
