Setting Up Tally Prime
If you keep your books in Tally Prime, you do not have to key your invoices in twice. iotoms builds the Tally import file for you, and you import it yourself.
What this does and does not do
Tally runs on your own computer, not in the cloud. Nothing here can reach it. So iotoms produces a file you download, and you import that file into Tally through Gateway of Tally → Import Data. Nothing is ever sent to Tally from iotoms.
That is also why there is no "Connect to Tally" button. Filling in the settings below is the setup.
Opening the screen
- Go to Integrations in the sidebar.
- Click the Tally Prime card.
If you cannot see the card, your role does not include exporting invoices. Ask an administrator to give you the invoice export permission.
Filling in the settings
On the Settings tab:
- Company name — type it exactly as Tally shows it on the company screen. Required.
- Sales ledger — the revenue ledger every sale should credit, for example
Sales - GST 18%. Required. - Godown — the godown stock is issued from. Leave it empty if you do not run godowns.
- Voucher type — leave it as
Salesunless you renamed the sales voucher type in Tally. - The amber bar appears at the top of the screen. Click Save and connect Tally.
If you leave out the company name or the sales ledger, iotoms refuses to save and says which one is missing — both are needed before any invoice can be exported.
The chip beside the title changes from Not configured to Configured once the settings are saved.
Four things to do inside Tally first
These happen on your machine. iotoms cannot do them for you and cannot check that they were done — the checklist on the right of the screen repeats them.
- Open the company these invoices belong to, and use its exact name in the settings above.
- Set the voucher type to manual numbering with duplicate prevention. Go to Gateway of Tally → Alter → Voucher Type and open your Sales voucher type. Set Method of voucher numbering to Manual, and Prevent duplicates to Yes.
- Check the masters exist in Tally. Stock items, party ledgers, duty ledgers and units all have to already exist there.
- Import through Gateway of Tally → Import Data → Vouchers, choosing the file you downloaded.
Step 2 is the important one. The file carries your iotoms invoice number as the voucher number, so once Tally is set to refuse duplicates it will reject the same invoice a second time instead of quietly booking it twice. Without it, importing the same day twice books the sale twice — and a duplicated sales voucher means duplicated output tax you will not notice until you reconcile.
