Tips and FAQ

Does quoting an item put it aside for that customer? No. Stock is untouched by a quotation, and it stays fully available to sell to anyone else. If you need stock held, that happens at the order.

Does a quotation show up in my accounts or my sales figures? No. Nothing in your Profit & Loss, Balance Sheet or ledger changes because of a quotation, and it is not a sale in any report. Only the order it converts into counts.

Can I email the quotation from here? Not yet. Download the PDF and send it however you already send documents, then click Mark Sent so the system knows the customer has it.

Can I quote somebody who is not in my customer list yet? Not today — a quotation needs a real customer. Add them under Customers first, then come back.

Can I edit a quotation after sending it? No. Once it is sent the customer is holding it, so it stays as it was. Duplicate it into a new quote instead.

Can I change the 15-day validity default? Not at the moment — it is 15 days on every new quote. You can set any date you like on each quotation, it is only the starting suggestion that is fixed.

Why does my converted order's total differ from the printed quote? Tax is recalculated at the moment the order is created, using today's item tax rates. If a rate changed in between, the totals differ. Check both before committing the order.

Can I quote in another currency? No. Everything is in your business's own currency.

Can a salesperson see only their own quotes? Not today — anyone with the View permission sees every quotation in the business.

What does the quote number mean? Quotations are numbered SQ-000001 upwards, one sequence for your whole business. Note that these numbers may be reissued under a new scheme when proper document numbering series arrive.

Where do I take a tour of the screen? Open a new or draft quotation and click Show me how at the top right.
