Clearing a Stock Exception
Every row on Stock Exceptions leaves the list one of three ways. Which one you pick depends on whether the stock movement still needs to happen.
| Choice | Use it when | Does stock move? |
|---|---|---|
| Post the movement now | The movement should have happened and still should | Yes |
| Mark as handled | You fixed the cause somewhere else | No |
| Dismiss | The movement is not going to be made and does not need chasing | No |
Post the movement now
Use this when the quantity really should come out of (or go into) that stockroom, and it can now.
- Open Stock Exceptions.
- Find the row. If the Post the movement now option is missing, there is no quantity to post — go to Mark as handled below.
- Open the row's ⋯ actions menu and choose Post the movement now.
- The confirmation tells you exactly what will happen: how much of which item, in or out of which stockroom.
- Click Post the movement.
You will see "Movement posted. Stock on hand is updated." The movement is recorded like any other stock movement, so it appears in the item's adjustment history with your name on it, and the exception is marked Resolved.
If the stockroom still has nothing to give
The posting is refused and you get the reason as an error. The row stays Open — a failed posting is never quietly hidden. Put the stock in first (receive it, or transfer it in), then try again.
Two cases where nothing is posted, and the row closes anyway
Before it moves anything, the system checks two things. Either one stops the posting and closes the row, and you are told which:
-
"That sale or return no longer exists." The document the row blames is gone. There is no movement to make, and posting one would take stock off your shelf for something that never happened. The row closes and no stock is touched.
-
"No more of that item left to move." The sale or return has already had its full quantity of that item posted, so there is nothing left for this row to do. Usually a tablet that synced twice — the first attempt failed and raised the row, a later one succeeded — but it can also be another line of the same item having been posted, or someone having corrected the stock by hand. Posting again would move the same quantity twice. The row closes and nothing is posted a second time.
Worth knowing if you sell the same item on two lines of one order: those get two rows, and posting the first does not close the second. Each row is posted on its own, and only when the order's whole quantity for that item has moved does the next one report this.
Both are normal housekeeping, not errors on your part. You do not need to do anything else.
Mark as handled
Use this when you dealt with the cause somewhere other than this screen. The two usual cases:
- You set the register's stockroom under Registers, so future sales come out of the right place.
- You counted the shelf and corrected it with an adjustment, so the quantity is already right.
- Open the row's ⋯ actions menu and choose Mark as handled.
- Confirm.
No stock moves. The row is kept, marked Resolved, with your name and the time.
Dismiss
Use this when the missing movement is not going to be made and nobody should chase it — an old row from a device that no longer exists, or a test transaction.
- Open the row's ⋯ actions menu and choose Dismiss.
- Confirm.
The row is marked Dismissed and stops counting as outstanding. It is kept for audit. Be clear about what this means: your stock on hand is still off by that amount — dismissing records a decision, it does not correct anything.
Who can do what
- Seeing the list needs the Stock Exceptions, View permission.
- Posting a movement, marking as handled and dismissing all need Stock Exceptions, Resolve — a separate permission, because posting a movement changes your stock.
If you only have View, the ⋯ menu is not shown at all — there are no actions to offer, so none are advertised. Ask an administrator if you need to resolve rows; see Permissions.
