Creating a Stock Transfer
A transfer moves stock from one location to another — loading a van for the day, returning unsold stock, restocking a store from the warehouse, and so on. A transfer starts life as a draft: you set up the route first, then add items, and nothing moves until you confirm and dispatch it.
Step 1 — Create the draft
- Open Items → Transfers from the sidebar.
- Click New Transfer.
- On the Create transfer page, fill in:
- Transfer type — the business context for the movement: Van loading, Van return, Store receiving, Inter-store, Manufacturing to warehouse, or Manual.
- Transfer date — when the transfer is initiated (defaults to today).
- From location — the source that dispatches the stock.
- To location — the destination that receives it. It must be different from the source, and both pickers only offer active locations, shown as "Name (CODE)".
- Expected receipt date (optional) — an ETA the receiving side can plan around.
- Reference ID and Reference type (optional) — link the transfer to a source document or workflow (Day cycle, Manual, or Production order) for reporting.
- Operational notes (optional) — handling or receiving instructions for the teams involved.
- The Summary Preview panel on the right shows the route and dates as you go — sanity-check it, then click Create transfer.
- You'll see a "Transfer created" confirmation and land on the new transfer's detail page. The transfer is now in DRAFT status with no items yet.
Step 2 — Add items
Items can only be added while the transfer is a draft.
- On the transfer's detail page, click Add Items.
- The Add Transfer Items drawer opens. Search by item name or item ID, then click an item to select it (click again to unselect).
- Each selected item appears in the Selected panel at the top with its available quantity and a quantity box — set how many units to move (minimum 1).
- Click Add N items to transfer. The items appear in the transfer's item table with their requested quantities.
You can repeat this to add more items, as long as the transfer is still a draft.
Step 3 — Confirm and dispatch
When the draft is complete, dispatch it to actually move the stock — see Tracking and Receiving Transfers. Until then, a draft can still be cancelled harmlessly: no stock has moved yet.
