Adjusting Quantity on Hand
Use a QOH adjustment to correct an item's recorded stock — after a stock take, a write-off, damage, or receiving stock outside the normal transfer flow. Every adjustment is recorded in the item's history with who made it and why.
Steps
-
Open Inventory from the sidebar.
-
Find the item (see Checking Quantity on Hand), then open the row's ⋮ actions menu and choose Adjust QOH. You can also click Adjust QOH from the item's detail page.
-
The Adjust inventory dialog opens, showing the item's current QOH, Reserved, and Available figures so you can sanity-check before changing anything.
-
Pick an Adjustment Type:
- Add — increase the quantity at the chosen stockroom
- Subtract — decrease the quantity at the chosen stockroom
- Set — replace the quantity at the chosen stockroom with exactly what you enter
-
Enter the Quantity (must be greater than 0). For items stocked by weight, the field is labeled with the stocking unit (e.g. KG) and accepts decimals to the unit's precision.
-
Choose the Stockroom. Leave it on Default warehouse if you only hold stock in one place. Note what Set means here: it replaces the quantity at that stockroom, not the item's total across all of them.
-
Enter a Reason (required). Use
WRITE_OFF,DAMAGEorEXPIRYwhen stock is being lost — those are the three the shrinkage report counts, so anything else means the loss will not show up there.STOCK_COUNT,OPENING_BALANCEandMANUAL_ADJUSTMENTcover the rest; the field suggests them as you type. -
Optionally add Notes — a reference document, variance context, or anything a colleague reviewing the history would want to know.
-
Click Apply adjustment. You'll see an "Inventory updated" confirmation, and the list, detail cards, and adjustment history refresh immediately.
Good to know
- An adjustment now always lands on a stockroom, and the item's overall quantity on hand is simply the total of its stockrooms. To move stock between stockrooms, use a transfer instead — an adjustment out of one and into another records two unexplained changes where a transfer records one movement.
- An adjustment cannot take company-wide stock below what is already reserved for open carts and orders. If it would, you get an "insufficient stock" message.
- Adjustments cannot be edited or deleted afterwards. To correct a mistake, apply a new adjustment the other way and note why.
