Tips and FAQ

  1. Why can't I create or close a day cycle from the portal? Day cycles are created and closed by the field rep on the mobile app (Day Start / Day Close). The portal's Day Cycles screen is a monitoring view — you watch, review the detail, and approve or reject expenses, but you never start or end a day from here.

  2. A day cycle shows "In progress" instead of a distance — is something wrong? No. The distance travelled needs both odometer readings, and the end reading is only captured when the rep closes the day. Once the cycle shows Closed, the distance appears.

  3. What's the difference between a Customer Store here and a Store under Organization? A Customer Store is a shop your vans serve — your customer on the route. The Stores under Organization are your own branches/locations. They are completely separate records.

  4. What does a customer store's credit limit do? It caps how much outstanding credit the field team can extend to that shop. "Credit limit reached" is also one of the skip reasons a rep can log when passing a stop.

  5. Can I delete a vehicle? No — there is no delete action for vehicles. Set the vehicle's Status to Inactive instead; it stays in the list for history but can no longer be assigned to route plans.

  6. Why doesn't a user appear in the Driver assignment picker? Only users whose portal role maps to a vehicle role — Driver, Sales Executive, Financial, Expeditor, or Cashier — are assignable. Check the person's role under Admin → Users. Also note each role can hold only one user per vehicle.

  7. Why is "Add customer store" disabled on the route plan form? The current stop row still has no store selected — pick one first. Also, a customer store can appear only once per plan, so stores already used on other rows won't show up in the dropdown.

  8. Why can't I pick a certain vehicle when assigning one to a route plan? Only Active vehicles are offered. Reactivate the vehicle from its detail page first, or pick another one.

  9. What is the coverage target on a route plan? The percentage of planned stops the rep is expected to visit in a day. Day cycles show actual coverage (visited / total stores) against it — see Monitoring Day Cycles.

  10. Are deletions permanent? Yes — deleting a customer store or a route plan asks for confirmation and cannot be undone. Past day cycles keep the visit details they recorded, so history is unaffected.

  11. Why is a day cycle's PDF stamped "Provisional"? The cycle is still open, so the numbers can still change. Regenerate it any time with the refresh button; once the rep closes the day the document becomes Final — see Reading a Day Cycle's Detail.

  12. Why do I see "Map not available" on a day cycle? Either no GPS coordinates were recorded for that cycle, or your account doesn't have the GPS map permission — ask your administrator to check your role's feature access.
