Adding and Managing Vehicles
The Vehicles screen is your fleet register: every van, car, or bike your field team uses, each with an identity, a status, and a crew assignment. The list shows the vehicle number, label, type, last odometer reading, status, and notes.
Adding a vehicle
- Open Operations → Vehicles from the sidebar.
- Click Add vehicle.
- Fill in the form:
- Vehicle number (required) — the registration/plate or your own fleet code, e.g.
SAF-VAN-001. - Label (required) — a friendly name, e.g.
Main Delivery Van. - Type (required) — Van, Car, Motorbike, Foot, or Other.
- Status — the Active / Inactive pill toggle. Only Active vehicles can be assigned to route plans.
- Last odometer (km) — optional starting reading; day cycles record start/end odometer on top of this.
- Notes — optional free text, e.g.
PRIMARY VEHICLE.
- Vehicle number (required) — the registration/plate or your own fleet code, e.g.
- The Preview card on the right mirrors what you've typed. Save from the amber unsaved-changes bar.
Assigning the crew
Once the vehicle is saved, a Driver assignment card appears below the form (both right after creation and whenever you edit the vehicle later):
- Open the user picker and select the people who ride with this vehicle. Only users whose portal role maps to a vehicle role appear — Driver, Sales Executive, Financial, Expeditor, or Cashier — and each user is listed with that role.
- You can assign one user per role; selecting two Drivers, for example, is rejected when you save.
- Click Save assignments.
If someone you expect is missing from the picker, check their role under Admin → Users — users without one of the five vehicle roles are not assignable.
Finding and editing vehicles
- Search by vehicle number or label from the box above the list (
number:,label:, andnotes:prefixes work too). - Click Filters to narrow by Status (Active / Inactive) and Vehicle Type — the list updates live.
- Click a vehicle number (or use the row menu's Edit / View details) to open its detail page: the same form plus the Driver assignment card.
There is no delete action for vehicles — retire one by setting its Status to Inactive instead. Inactive vehicles stay in the list for history but can no longer be paired with route plans.
