Chasing Overdue Money (Receivables)

The Receivables Aging panel sits directly under the money strip. It answers the question the Customer Balance number can't on its own: how old is that money? Money owed for a week and money owed for six months are not the same asset.

Everything in this panel is money still owed on credit sales — the amount left on each sale after every receipt you have recorded against it. A sale settled at the counter, or one a customer has since paid off, is not in here. It is the same set of figures as the Aging tab under Accounting > Receivables, so the two screens always agree.

  1. Open Dashboard from the navigation and look at the left-hand panel below the money strip.
  2. Read Total Outstanding at the top of the panel — everything your customers still owe you, as the panel's headline figure. It is dark and bold when there is money to chase and grey when the figure is a real zero.
  3. Read the coloured rule underneath it. It shows how that balance splits by age — green is current, and the colours warm up as the money gets older, ending in red for anything past 90 days. The wider the red, the bigger your problem.
  4. Under the rule, each age band that has money in it is named with its amount, and the number of customers involved is shown on the right.
  5. Read the remaining summary lines:
    • Overdue more than 90 days — the part that is genuinely at risk. Shown in red whenever it isn't zero.
    • Supplier balance — what you owe out, so you can see both sides at once.
  6. The four columns at the bottom are the same money split by age, so you can compare the bands at a glance: Current (up to 30 days old), 31–60 days, 61–90 days and 90+ days. Each column carries its own figure, and the amount scale down the left ($0, $5k, $10k…) tells you how big each band really is rather than just how it compares to the biggest one. A band with nothing in it shows $0 and no column, so "nothing in this band" is easy to tell from "no data".
  7. If nothing is owed to you at all, the panel says so plainly — Nothing outstanding, with the date it was read and a View receivables link — rather than drawing four empty columns.
  8. Click View receivables in the top-right of the panel to open the full receivables aging report and see which customers make up each band.

What to do with it

  • A tall 90+ days column is your collection list. Start there — that money gets harder to recover every month it sits.
  • If nearly all your balance is Current, your invoicing and collection are healthy, whatever the total says.
  • The Action items panel beside it repeats the overdue figure as a task, with what share of your customer balance it represents. See Action Items and Status.

Why the panel might not be there

The panel reads your accounting ledger for the total, and the receivables aging for the split by age. If your business isn't using the accounting module, the panel isn't shown at all rather than showing zeroes that would be misleading.

If your role can see the balance but not the age split, you get the balance plus one short note under the figures saying the detail isn't available for your role. That note only appears when there really is money owed — a clean ledger gets the Nothing outstanding message instead, so "you can't see this" is never confused with "there is nothing to see". When the age split is missing, the panel also steps aside and gives the wider half of the row to Action items.

If your sales aren't posting to the ledger yet, the balance is read from your receivables report instead, so the number is still real rather than a zero — turn on posting rules in Accounting to have sales booked automatically.
