Tips and FAQ

  1. A new user logs in and sees nothing — what happened? Almost always their role has no permissions assigned. Access is deny-by-default: a role starts empty until you grant it features. Open Admin → Permissions, select their role, tick the features they need, and save. They'll see the change on their next sign-in — see Assigning Feature Permissions to a Role.

  2. What's the difference between a role name and a role key? The name is the friendly label shown in lists and dropdowns; the key is a technical identifier in UPPERCASE_WITH_UNDERSCORES used internally. You can type anything into the key field — it's cleaned up automatically when you leave the field.

  3. Why can't I tick some permission checkboxes? You can only grant features you hold yourself. Greyed-out cards are features outside your own access, and roles with access beyond yours are view-only (amber lock banner). Ask an administrator with wider access to make those changes.

  4. Why can't I change a username? Usernames are permanent once created. If someone really needs a different username, create a new user account with the right one and deactivate or delete the old account.

  5. My new password keeps getting rejected — why? It must be at least 8 characters and include an uppercase letter, a lowercase letter, a number, and a special character — and only these special characters are accepted: @ $ ! % * ? & . _ ^ #. A password containing anything else (e.g. a hyphen or a space) will be rejected.

  6. Why is it asking for my current password? That extra field only appears when you're changing the password on your own account. Resetting another user's password never asks for their current one — see Editing a User (and Changing Your Own Password).

  7. Should I deactivate or delete a departing user? Deactivate (Status → Inactive) if there's any chance they return — it blocks login but keeps the account and is reversible. Delete only when you're sure; you can't restore a deleted user from the portal — see Deactivating or Deleting a User.

  8. Can I give one specific user an extra permission? Not directly — permissions always belong to roles. Either move the user to a role that has what they need, or create a dedicated role for them (the create-role form can clone an existing role's permissions as a starting point, so this takes seconds) — see Creating a Role.

  9. When do permission changes take effect? On the affected users' next sign-in or page reload. Nobody is logged out mid-session.

  10. What is PIN login for? An optional 4–6 digit PIN used for assisted quick-login workflows on shared devices. It's off by default — enable it per user only when that workflow applies.
