Accepted, Lost, and Converting to an Order

The customer said yes

  1. Open the sent quotation.
  2. Click Mark Accepted.

The state becomes Accepted and a Convert to Order button appears.

You cannot accept a quotation whose validity has already passed. That is on purpose: a price you agreed to must always sit inside the window you offered it in. An expired offer gets duplicated into a fresh quote instead.

The customer said no

  1. Click Mark Lost.
  2. Type why — price, timing, went to another supplier. The reason is optional, but it is the only record of why your pipeline shrank, so it is worth the ten seconds.
  3. Click Mark lost.

Nothing is deleted. The prices stay on file and you can duplicate the quote later.

Turning an accepted quote into an order

  1. Click Convert to Order.
  2. A box confirms how many lines and what total are about to be handed over, and asks which Register the order belongs on. A back-office quote has no till of its own, so this is a real question — pick the register whose day the order should land on.
  3. Click Continue. The New Sale screen opens with the store, the customer and every line already filled in.
  4. A note at the top of that screen tells you the lines came from your quotation, and reminds you to check the total.
  5. Set the payment status and method as you would on any order, then use the amber bar to Create order.

Once the order is created, the quotation flips to Converted and shows a link to the transaction it became. It is closed from then on.

What to check before you commit

Tax is recalculated from today's item rates, not copied from the quote. If a tax rate changed between quoting and ordering, the order's total can differ from the printed quotation. Compare the two totals before you create the order — the note on the order screen says the same thing.

If the register list is empty

The store on the quotation has no active register. Add one under Organization → Registers, then convert.

If Convert to Order is not there

You need both the Convert quotations permission and access to the New Sale screen. Missing either one and the button is not shown, because a button that redirects you away is worse than no button at all.
