What Procurement Does
Procurement is where you buy stock for your business — from choosing who you buy from, to ordering it, to recording what actually arrived at your warehouse. Confirming a delivery here is what puts the goods into your inventory, so this section is the front door for all incoming stock.
The four screens
Procurement is made up of four connected screens, all under the Purchases section of the sidebar:
- Vendors (
/procurement/vendors) — the suppliers you buy from. Each vendor record holds contact details, payment terms, the catalog items they supply, and the rates you have agreed with them over time. - Requests for Quote (
/procurement/rfqs) — how you ask several suppliers to price the same basket, compare their answers side by side, and award the business line by line. Awarding creates the purchase orders for you. - Purchase Orders (
/procurement/purchase-orders) — the orders you place with a vendor. A purchase order (PO) moves through an approval workflow: Draft → Submitted → Approved → Sent → Received. - Goods Receipts (
/procurement/goods-receipts) — the record of what physically arrived. A goods receipt note (GRN) is checked against the PO, and confirming it is what adds the accepted stock to inventory.
The typical flow
- Create the Vendor first — every purchase order requires one.
- Where the price is not already settled, raise a Request for Quote: ask several suppliers, record what each one quoted, compare them, and award. Each winning supplier gets its own draft purchase order automatically.
- Otherwise, raise a Purchase Order directly and take it through Submit → Approve → Send.
- When the delivery arrives, record a Goods Receipt against the PO and confirm it. The PO tracks received vs. outstanding quantities and is marked Received once everything is in.
Only the goods receipt affects your accounts. A request, a quote, an award and a purchase order are all statements of intent.
