Tips and FAQ
Do I have to enter my prices before this is any use? No, and that is the point. Buy an item from a supplier once and the rate is remembered from the purchase document. Agreed Prices is for the rates you want to hold a supplier to.
A purchase order was blocked because of a price. Was that this? No. Nothing in Agreed Prices or Price Variances ever blocks or corrects a document. You get told, the document saves as keyed, and a row appears on the variances list.
I revised a rate and now I have two rows. Is that a duplicate? No — that is the design. The old rate is kept and closed off, so a purchase order dated inside its window still prices at the old figure. Only one row is ever In force.
Why does the list show nothing when I know we have agreements? The list opens on In force. A rate that has not started yet is Scheduled and one whose dates have passed is Lapsed; both are hidden until you change the Status filter.
Why is there no warning on this line when the price clearly went up? One of three reasons: it is the first time you have bought that item from that supplier; the line is keyed in a different unit from the rate held (a case rate is never divided down to a piece); or the difference did not clear both tolerance thresholds.
Can I set a cheaper rate for larger quantities? Not yet. Whether a break applies to the whole order or only the units above the threshold changes what your historical costs mean, and until that is settled the console refuses the entry rather than storing something that will mean something different later.
Can I agree a rate with a customer? The console holds customer rates and uses them to price sales quotations. There is no screen to author one yet, and the counter still charges the shelf price — applying an agreed rate at the till needs the promotion interaction decided first.
What about "buy 10 get 1 free"? Not a price and not a discount, so it is deliberately not in here. Entered as a 9.09% discount the free unit enters stock at zero and the other ten are overvalued — permanently. It belongs on the receipt line, as eleven received against ten charged, which is coming with supplier bills.
Someone dismissed a variance I wanted to chase. Is it gone? No. The Dismissed tab keeps every row with its figures and whoever cleared it, plus their note.
Does any of this touch my accounts? No. Not an agreement, not a revision, not a variance. Every row's posting state reads "not applicable", and there is no setting that changes it.
I can see Agreed Prices but not the New Agreement button. You have View pricing but not Manage agreements. Ask whoever manages roles.
Why can the person who clears variances not also author rates? On purpose. Whoever can quietly clear "you paid 100 last time, this is 105" should not also be the person who authored the 100.
