Adding a Catalog Item by Asking

You can add a new item to your catalog by describing it in the assistant, the same way you create a customer. The assistant drafts the item as a proposal card; nothing reaches your catalog until you check the details and confirm.

Steps

  1. Open Assistant → AI Assistant.
  2. Describe the item in one sentence, including at least a name and a selling price. For example:
    • "Create an item called Blue Widget 500ml, selling price 12.50, cost 8, category Beverages"
    • "Add a new item Mango Juice 1L, brand Al Rawabi, barcode 6291000123456, sells for 9.75, costs 6.20"
  3. An AI proposal — New Item card appears in the conversation, with the fields grouped as Identity, Pricing and Classification.
  4. Check every field, and edit anything that's wrong:
    • Item Code — if you didn't give one, the assistant makes one from the name (for example BLUE-WIDGET-500ML). If you use your own coding scheme, replace it.
    • Selling Price and Cost Price — these are the fields worth double-checking. A missing cost is filled in as 0.
    • Category and Brand — plain names. A name you don't already use is created along with the item.
  5. Read any amber warning notes. They tell you when a code was invented for you, when the code is already taken, and when a category or brand will be created.
  6. Watch the Expires in m:ss timer — a proposal is only valid for a few minutes. If it runs out, nothing is saved; just describe the item again.
  7. Click Confirm & Create to add the item, or Discard to throw the draft away.
  8. On success the card becomes a confirmation with a View item link to the new catalog record.

Checking stock while you're there

The assistant can also look up live stock for one item, and it can chain the two together in one conversation:

  • "How much Blue Widget do I have?" — total across all your locations, plus a per-location breakdown.
  • "How much Blue Widget do I have in store 2?" — just that store.

If several items match the name you used, the assistant lists the matches and asks you to pick one by item code rather than guessing.

If the item code is already in use

The catalog will not accept two items with the same code. If the warning says the code exists, change the Item Code field on the card before confirming — you don't need to start over.
