Closing a Month
Closing a month locks it: nothing new can be posted with a date inside it, so the numbers you reported stay the numbers in the books. Do this once you're done recording a month's activity.
Set up your accounting calendar first
- Open Accountant → Fiscal Periods from the sidebar.
- Click Generate fiscal year. A small dialog opens with two fields and a preview.
- Type the Fiscal year you want. The box starts on the year you are currently looking at, so if that year already exists, replace it with the one you actually want to create.
- Pick Starts — the first month of your business year. January for a calendar year, April for an Apr–Mar year. The month list carries the year beside each name, so you can see exactly which April it means.
- Read the preview underneath. It lists all twelve months by the exact names the journal and ledger will use — Apr 2027, May 2027, and so on. It redraws as you type, so what you see is what will be written.
- Read the line at the bottom-left before you press anything. When everything is fine it names the years that stay untouched. When something is wrong it says so instead, and the Generate 12 periods button is greyed out until you fix it. There are two reasons it will stop you:
- That year already has periods. Generating it again would change nothing, so the dialog says so rather than reporting a success that did nothing.
- Some months are already covered by another fiscal year. This happens with a non-January start month that overlaps a year you generated earlier. Those months are highlighted in amber in the preview — change the start month.
- Click Generate 12 periods. Twelve monthly periods appear, all Open, and the page switches to the year you just created.
Generating the same year twice is safe — it never duplicates. But there is no way to delete or regenerate a fiscal year from this screen, so read the preview before you press the button: a year created with the wrong start month has to be fixed by support.
Check where you stand
The row of figures at the top of the page answers the questions you need before closing anything:
- Current Period — the month today falls into, and whether it's still open for posting.
- Open and Closed — how many months of the selected year are in each state. The bar underneath shows the same split at a glance.
- Unposted in Current — draft entries dated inside the current month. Clear these before you close it, or they'll never make it into the books.
- Fiscal Years — how many years you've set up.
If you have more than one fiscal year, use the FY dropdown on the left of the control row to switch between them. The Current Period figure always describes the month the business is actually posting into, whichever year you're browsing.
Close a month
- On the Periods table, find the month — close oldest months first. Use the Search periods box if the year is long.
- Open the row's ⋮ menu and choose Close period.
- Read the confirmation and click Close period. The status flips to Closed immediately.
From now on, any journal entry dated inside that month is rejected with a message naming the period.
Reopen a month
Made a mistake in a closed month? You have two options:
- Reverse into the current month — reversing an entry from a closed month posts the correction into the current open month. This is the standard, audit-friendly way.
- Reopen the month — open the row's ⋮ menu, choose Reopen period, and confirm. Post your correction, then close it again.
Tips
- Closing and reopening need their own permission, separate from posting entries — typically only the owner or manager finalizes months. Without it, Generate fiscal year and the ⋮ menu simply aren't shown.
- A closed month is why your reports stop moving: if a number changed after you reported it, the month wasn't closed.
- If Current Period says Today falls outside every period, you've run off the end of your calendar — generate the next fiscal year.
